How to transfer my emails to Google Workspace?

If you are looking to migrate emails from your current provider to Google Workspace, there is an easy way by using the Data Migration tool available directly in your Google Admin console. Our quick setup guide below will guide you.

  • Step 1. Log into the Google Admin console

    Access the Google Admin console from inside Client Area > Services > Google Workspace > Admin Login. Alternatively, visit admin.google.com.

    On the admin login screen, enter your username and password for your particular Google Workspace account created during the Google Workspace account setup.

  • Step 2. Navigate to Data Migration Tool

    From the left side menu inside the Google admin, select Data > Data import & export > Data migration. If the Data section is not showing up in the menu, press the Show more button.

    Next, click on Set up data migration.

  • Step 3. Configure your source setting

    The following screen will give you a couple of options depending on the type of email account you want to transfer.

    To transfer a webmail email account to Google Workspace, use the following:

    Migration Source: Other IMAP Server
    Data Type: Email
    Connection protocol: Auto Select (Recommended)
    Role account: Enter the username and the password for the email address you are transferring

    Click Start when you are ready with the above.

  • Step 4. Additional Migration Settings

    Once a connection is established by inputting your source email username and password, you have the option to choose from these two.

    Migration start date: You can specify the start date of the migration for your emails.
    Migration options: You can decide if you want to migrate deleted emails currently in your trash, junk emails, or if you decide to exclude specific folders from transferring.

    After configuring your transfer preferences, click Select Users.

  • Step 5. Select a User and Initiate the transfer

    On the screen that will load, click Add User if you want to migrate your emails to only one Google user. Use Bulk Migrate with CSV if you want to migrate multiple entities at once by uploading a CSV file.

    In our example, we’ll migrate emails from webmail to only one Google Workspace user by clicking on the Add User option.

    In the first two fields, we need to add again the source username and password for the email address you wish to transfer.

    The last field is where you choose the Google Workspace user that will receive the emails from the source email.

    Start a migration to Google Workspace

    Clicking Start will start the migration process. You will see Initializing in the status of the migration.

    IMPORTANT! Note that the migration process might take a while, depending on the size of your source email.

    Once done, the status will change to Complete.
